Documenting Damage So a Shipping Claim Actually Succeeds

Shipping & Costs

Most damage claims fail on evidence rather than on merit. The item really was broken, and there is no way to demonstrate whether it happened in transit or in the recipient's kitchen. Ten minutes of disciplined documentation at the moment of delivery is what separates a paid claim from an argument.

Photograph before you open anything

Start with the sealed box as delivered, from all six sides, with the shipping label visible and legible in at least one frame. Include a shot showing any crush, puncture or tape damage in context, and one close-up. This is the single most important set of images and it is impossible to recreate after the box is open, which is why most claims lack it.

Document the unpacking

Photograph each layer as you remove it: outer box open showing the fill material in place, then the item still nested, then the item removed. This establishes how the item was packed, which matters because inadequate packing is the most common claim exclusion. Video of the unboxing in one continuous take is even better and takes no extra effort.

The item itself

Straight-on shots of each damaged area with something for scale, plus a shot showing the whole item so the damage is located in context. For anything with a serial number or edition marking, include a shot of it. Keep the damaged item and all packaging until the claim is closed, since carriers frequently ask for inspection or for the packaging to be produced.

The deadlines that end claims

Carrier claim windows are often as short as seven to fifteen days from delivery, and some require notification of visible damage within 24 to 48 hours. Insurance claims usually require proof of value, meaning the original order confirmation. Filing on day twenty with perfect photographs is a losing position, so the sequence is photograph, notify, then assemble the rest.

Frequently asked

What if I already opened the box?

Photograph everything now anyway, including the packaging, and be honest about the sequence. A claim without exterior photographs is weaker but not automatically hopeless, particularly when the packaging clearly failed.

Does the original retail packaging matter?

Yes, both as evidence of value and because damage to an inner retail box is itself a loss on collectibles. Photograph it separately from the shipping carton.

Who files the claim, me or the shipper?

Usually whoever contracted with the carrier, which for a forwarded shipment is generally the shipper. Supply your documentation to them promptly rather than filing separately and duplicating it.
